Training Support Administrator (Casual)

This is a remote role (work from home), supporting CEWBI's online professional training workshops delivered via Zoom.
The Role
CEWBI delivers professional training workshops to clinicians across Australia in evidence-based eating disorder treatment. We're looking for a confident, engaging communicator to join us on a casual basis to manage the admin and tech side of our Zoom workshops, allowing our presenters to focus on delivering high-quality training.
While the training is running, you'll be managing the Zoom session, responding to any participant emails as they come in, troubleshooting tech issues, tracking attendance, and thinking about how we can talk about the training on social media.
This role is well suited to a psychology or allied health student who's a natural communicator, comfortable speaking to groups online, and wants relevant experience in the eating disorders field while studying.
Key Responsibilities

Join the admin link 30 minutes prior to each workshop and liaise with the presenter on their support needs (breakout rooms, scheduled breaks, video sharing, role-play participation, etc.)

Manage the Zoom waiting room, tracking participants and admitting them when the training begins
-
Open the workshop on behalf of CEWBI, including an Acknowledgement of Country and introducing the presenter

Provide tech support to workshop participants (up to 20 participants per session)
-
Manage the Zoom session from an admin perspective (muting, spotlighting, screen share permissions, etc.)
-
Monitor and respond to participant emails that come in during the workshop (e.g. late arrivals, tech issues, resource requests)

Email resources shared by the presenter to participants during or after the workshop
-
Track attendance throughout the workshop to confirm participants meet attendance requirements for certification
-
Issue certificates of completion to eligible attendees
-
Step into role-plays as the "client" when requested by the presenter

Draft ideas for social media posts about the training as it runs - capturing key takeaways, presenter quotes, or workshop moments we could share, while strictly maintaining participant confidentiality

Other workshop-related admin as required
About You
You are looking for casual, flexible work that fits around your study schedule and gives you exposure to professional training in the eating disorders field. A psychology or allied health background is preferred but not essential - we're equally interested in strong admin people with great Zoom skills and a confident on-camera presence.

A confident and engaging communicator, comfortable speaking on camera and welcoming groups of professionals to a workshop

Someone who can juggle multiple things at once - actively managing the Zoom room, monitoring email, and thinking about content while the training runs

Calm under pressure when tech issues come up mid-session

Highly proficient with Zoom, including breakout rooms, waiting rooms, spotlighting, and host controls (or a fast learner if not yet expert)

Comfortable with Google Suite, email, and general workshop admin tools

Highly organised with strong attention to detail, particularly for attendance tracking and certificate issuing

A strong communicator both verbally and in writing

Reliable and punctual - workshops run to a schedule and we need someone we can count on

Have access to a reliable, high-speed internet connection and a quiet, professional space to work from during workshops

Open to occasionally stepping into role-plays as the "client" to support skill-based training

Understanding of professional confidentiality and respectful conduct in a clinical training context, including what can and can't be shared publicly about a workshop

Eating Disorder Psychologist

We have opportunities available for psychologists who are passionate about providing client-centred, empirically-supported psychological assessment, treatment, and support for individuals experiencing eating, weight, or body image related difficulties. Our goal is to make empirically-supported treatment available in the community, and we have a reputation as a leading treatment provider in this area. Our services are in high demand, and we look forward to welcoming more psychologists to our committed and supportive team.
We focus on the psychological assessment and treatment of eating, weight, and body image concerns and associated physical health (e.g., diabetes, polycystic ovary syndrome) and mental health (e.g., depression, anxiety, adjustment disorders) difficulties in adults, adolescents and children. We have strong links with GPs, psychiatrists, and allied health providers including dietitians and other psychologists. Many clients also find us through word of mouth, both through existing clients and our website and social media.
We are seeking psychologists for our East Melbourne Clinic to provide a combination of face-to-face and telehealth appointments. Psychologists available for telehealth only will also be considered.
The Team
CEWBI psychologists are experienced, passionate, and committed to providing best-practice, evidence-based care to individuals with eating, weight and body image concerns.
Our practice Director, Dr Leah Brennan, is a Clinical, Health, Educational and Developmental Psychologist. Leah is passionate about maintaining a supportive and evolving practice where psychologists feel valued, are supported to deliver empirically-supported treatment, and have opportunities to develop their clinical skills and interests.
Our Client Support Team looks after both our clients and our psychologists. They take care of most reception and administration duties, leaving our psychologists to focus their time and energy on their clients. Our Client Support Team anticipates our needs and provides seamless systems that reduce admin demands on psychologists.
Our training, supervision and support program
We are passionate about providing an engaging, motivating and supportive workplace for our team. We know that our clients will receive high-quality care if our psychologists are well supported.
We provide a comprehensive training and support program tailored to the needs of the individual psychologist (including registrars). This includes:

Formal training in a range of empirically-supported eating disorder treatments including (but not limited to) Cognitive Behaviour Therapy for Eating Disorders (CBT-E), Family Based Therapy (FBT), and Specialised Supportive Clinical Management (SSCM). This training is delivered by national and international experts.

Regular individual and group supervision provided by experienced, approved supervising psychologists.

Regular modality specific (i.e., CBT-E, FBT, etc) group supervision facilitated by local and international experts.

Access to skills workshops facilitated by experienced psychologists covering a range of topics important for clinical practice (e.g., managing admin tasks, setting and reviewing homework tasks, liaising with referrers, Medicare etc)

Registrar programs for Clinical Psychology, Health Psychology, Educational and Developmental Psychology.
About the role
We are looking for psychologists with a passion for the treatment of eating, weight and body image concerns. The successful applicant will provide empirically-supported psychological assessment, treatment, and support for adults, adolescents and/or children with eating, weight and/or body image concerns. This is a part-time (minimum 3 days) or full-time role.
Our clients come from a range of backgrounds and present with a variety of eating, weight and body image concerns. This enables our clinicians to have varied clinical caseloads. CEWBI does not accept referrals from third parties (e.g., Workcover, TAC, DVA) and we do not provide court reports or assessments.
Essential Criteria

Unrestricted psychologist registration with AHPRA.
-
Current public and professional indemnity insurance in line with AHPRA requirements.
-
Formal training in Cognitive Behavioural Therapy Enhanced (CBT-E) and/or Family Based Therapy (FBT) for eating disorders (or willingness to complete this training before commencing with CEWBI).

Experience in the treatment of eating, weight and body image concerns.
-
Experience in the delivery of face to face and telehealth psychological services.
-
Experience in the delivery of telehealth psychology.
-
Ability to provide psychological services and reports in a manner that at all times is consistent with legal, ethical and professional requirements.

Ability to maintain record keeping that is at all times up-to-date and consistent with legal, ethical and professional requirements.

Ability to develop therapeutic rapport with clients and implement empirically supported treatments.
-
Demonstrated commitment to continued supervision and professional development.

Strong interpersonal and communication skills.

Ability to work independently, and to be a cooperative and supportive team member.

Ability to develop relationships with referrers and other members of the treating team.

The desire to work as an active part of the team and contribute to continued practice growth.

A current Working with Children Check and Police Check.

Continued access to your own laptop/computer and access to an appropriate confidential space for the provision of telehealth psychology.

Client Services / Administrative Assistant (Full Time)

This role is predominantly remote (work from home) and supports our clinics across Victoria.
The Role
You will serve as the vital bridge between our multiple private practices, ensuring that our clients feel welcomed, understood, and valued. This role provides the opportunity to be part of a diverse and multifaceted clinical environment, working alongside highly-experienced professionals and administrators within an empathetic team.
Key Responsibilities

Efficiently address client queries, both via phone and email, ensuring they're directed to the right practitioner or service.

Oversee client bookings for face-to-face and Telehealth using Halaxy across our multiple practices.
-
Ensure required documentation is uploaded prior to client appointments, and manage any follow-ups for missing information.

Handle client payments and manage Medicare rebates.
-
Collaborate closely with both clinical and administrative colleagues, prioritising strong inter-clinic communication.

Schedule and attend regular meetings with the team and with the director and psychologists.
-
Recognise opportunities for process enhancements and develop efficient strategies.

Implement and oversee new administrative processes, ensuring their effectiveness.
About You
This position is well suited to a psychology/allied health student who would like a break from study, and wants to use their knowledge and get some relevant experience. We are in search of a candidate eager to commit to a full-time or near full-time position, with the intention of a medium to long-term engagement, ideally spanning a minimum of two years.
